We are currently seeking a talented individual to join the Northeast State Community College team as an Administrative Assistant for the Nursing Department.

Position Summary

Reporting to the Director of Nursing, the Administrative Assistant provides general support to the Nursing Department. They assist the Director of Nursing in managing the daily operations and activities of the Nursing Department, as well as with digital records management, onboarding, and inquiries from employees, applicants and the general public.

Requirements of the Position

Minimum Qualifications and Education Requirements

Associates degree or higher from an accredited institution
Minimum of two (2) years experience providing administrative support, knowledge of office administrative practices and procedures
Ability to prepare correspondence and reports accurately from plain copy or rough draft
Ability to establish and maintain an effective working relationship with students, faculty, other employees, and visitors
Technology Skills: MS Office skills, Word, Excel, Outlook; digital records management systems; general operating systems and data information systems

Preferred Skills

Knowledge of community college policies and practices
Excellent customer service skills
Attention to detail and accuracy (application packet will be reviewed)
Proficient in Banner and myNortheast systems

Specific Role & Responsibilities

Develop and implement digital records management system
Prepare and edit correspondence and reports
Maintain efficient office filing and retrieval system
Maintain accreditation records
Arrange and coordinate committee meetings, correspondence, and records
Record, transcribe, and distribute meeting agendas and minutes
Process travel authorizations for administrative personnel
Field administrative and faculty issues/inquiries
Review operating practices and implement improvements where necessary
Assemble and analyze data used to prepare reports and documents
Assist administrative personnel with retrieval of information and data
Assist the Director of Nursing in managing the daily operations and activities of the Program
Update, communicate and implement current budget status to Director of Nursing
Support nursing administration with special projects
Prepare and track clinical affiliation agreements/contracts
Compile and enter faculty information into FLAC system
Compile and update semester schedules which includes assigning room charts, spreadsheets, registering students, and entering Banner data
Responsible for monthly back-ups of nursing program information on shared drives
Complete other assignments as directed by supervisor

Maintain digital calendar and archive annually on June 30. Provide supervisor with access to calendar and an archived copy of calendar for annual performance review.

Lead/promote College and TBR initiatives as they relate to this office.
In all duties assigned, show a commitment to quality, customer service, and Northeast State Community College: to include students, College employees, and the community served by Northeast State. Be an active and contributing part of the Northeast State Team.

Complete other assignments as directed by supervisor/Vice President for Academic Affairs.

Compensation: $26,333 - $31,595 annual salary dependent on education and experience.
