Administrative Assistant - Health Professions General Employee Responsibilities - Comply with local, state, and federal guidelines and laws. - Comply with Northeast State Community College and Tennessee Board of Regents policies, procedures, and guidelines. - Comply with SACSCOC (Southern Association of Colleges and Schools Commission on Colleges) Principles of Accreditation, policies and guidelines. - Promote and maintain College and TBR Mission, Vision, and Values. - Promote and comply with Northeast State Community College SAFE Campus programs. - Maintain digital calendar and archive annually on June 30. Provide supervisor with access to calendar and an archived copy of calendar for annual performance review. - Seek efficiencies and continuous improvement in both position and personal growth. - Lead/promote College and TBR initiatives as they relate to this office. - In all duties assigned, show a commitment to quality, customer service, and Northeast State Community College: to include students, College employees, and the community served by Northeast State. Be an active and contributing part of the Northeast State Team - Follow professional code of conduct and ethics; maintain professional dress in compliance with expectations of the position. - Complete other assignments as directed by supervisor/President. - Utilize effective people skills in working with internal and external customers. Specific Role and Responsibilities - Develop and implement digital records management system. - Initiate annual employee performance review and maintain related records. - Assemble and assists in gathering information for various reports and projects. - Perform general to complex clerical/secretarial duties. - Answer telephone and routes messages to appropriate persons and maintains accurate log of all calls. - Maintains department personnel records and prepares and routes contracts for payroll purposes - Type correspondence, purchase orders, forms, reports and other documents. - Initiate and maintain clinical affiliate and programmatic accreditation documents. - Arranges and coordinates committee meetings, correspondence, and records - Records, transcribes, and distributes meeting agendas and minutes - Fields administrative and faculty issues/inquiries - Assists the Dean of Health Professions in managing the daily operations and activities of the Division - Updates and communicates current budget status to Dean of Health Professions - Compiles and enters faculty information into FLAC system - Serve as point of contact in the absence of the dean. - Reviews and updates division specific areas of catalog and website. - Prepares appropriate documents for textbook adoptions and changes. - Maintains database for tracking student graduation application per program - In all duties assigned, show a commitment to professionalism and positive customer service to include student, college employees, and the community. - Complete other assignments as directed by supervision. Requirements of the Position Minimum Qualifications and Education Requirements - Education - Associate Degree in Office Administration or related field from a regionally accredited institution - Experience - Secretarial work experience required - Technology Skills: MS Office skills, Word, Excel, Access; digital records management systems; general operating systems and data information systems Preferred Skills - Three or more years of secretarial work experience preferred - Behaviors: - Dependability - Positive attitude - Display professionalism - Ethical - Abilities: - Attention to detail to ensure accuracy - Time management - Ability to produce error-free end products - Effective interpersonal communication Additional Notes - Be able to lift at least 20 pounds and climb stairs - Be able to stoop and/or bend, maintain copier, and place items in mailboxes Compensation: $26,333 - $31,595 annual salary dependent on education and experience.
